Who this policy covers
This Privacy Policy describes how Double E's Notary Services (“I,” “me,” or “we”) collects, uses, and retains information when you visit this website, request a quote, or use traditional or Remote Online Notary services. It applies to Eric Etheredge, Notary Public, State of Texas, Commission 135560858.
I am a solo notary practice. I do not sell personal information.
Information I collect
The information I collect depends on how you interact with me.
- Contact details you provide: name, phone number, email address, appointment location, and message content when you call, text, email, or submit a quote request.
- Appointment details: date, time, type of notarization, number of signers and documents, and other facts needed to quote and perform the act.
- Identification information required by Texas notary law: type of ID, issuing authority, identifying numbers as recorded in the notary journal, and, for RON, data returned by credential analysis and knowledge-based authentication.
- Notary journal entries: date and time, type of act, document description, signer name and address or equivalent, ID information, and fee charged.
- RON session records: audio-visual recording of the online notarization and the electronic journal, as required by Texas law.
- Website technical data: browser local storage for a draft quote on this device only. This site does not require an account and does not use advertising cookies.
How I use information
I use personal information to schedule and perform notarial acts, to communicate with you about appointments and fees, to maintain the notary journal and RON recordings required by Texas law, to invoice and collect payment, to protect against fraud and unauthorized acts, and to respond to lawful requests from courts, title companies, or government authorities when I am required to produce journal entries or recordings.
I do not use your information for advertising networks, and I do not sell or rent mailing lists.
Legal bases and notary duties
Texas notaries are public officers. I am required to keep a record of notarial acts. For remote online notarizations, Texas law requires an electronic journal and an audio-visual recording of the session. Those records exist to evidence that the act was properly performed and may be disclosed when the law requires it — for example, in response to a subpoena, a lawful request related to the notarized document, or a Secretary of State inquiry.
I cannot delete journal entries or RON recordings that I am legally required to retain, even if you ask me to. I can update contact information I keep solely for scheduling.
Sharing
I share information only as needed to perform the service or as the law requires:
- RON technology vendors, solely to complete identity proofing, the audio-visual session, and required electronic recordkeeping.
- Payment processors if you pay electronically.
- Couriers or shipping companies when you ask me to send documents.
- Title companies, lenders, attorneys, or other parties you designate to receive completed documents.
- Government authorities, courts, or other parties when legally compelled or when production of a journal entry or recording is required.
Retention
Electronic records of online notarizations, including audio-visual recordings, are retained for at least five years, or longer if Texas law or the RON platform requires it. Traditional journal entries are retained for the period required or recommended under Texas notary practice, and in any event long enough to respond to a lawful inquiry about the act.
Scheduling messages (texts, emails, voicemails) are kept as long as needed for the appointment and ordinary recordkeeping, then deleted in the ordinary course. Draft quotes stored in your browser remain until you clear them.
Security
I take reasonable administrative and technical steps to protect identification data, journal entries, and RON recordings, including using the RON platform’s required encryption and access controls. No method of transmission or storage is completely secure. Please do not send full identification numbers by unencrypted email unless I ask you to for a specific journal purpose; a phone call or the RON session is usually better.
Your choices
You may decline to provide information, but I may then be unable to perform the notarization. You may ask what scheduling information I hold about an upcoming appointment, and you may request that I correct a name or phone number I use to reach you.
You may opt out of non-transactional follow-up by saying so. I do not send marketing newsletters.

Children
Notarial services are for signers who have the legal capacity to sign. This website is not directed to children under 13, and I do not knowingly collect information from children through the site.
Changes
I may update this Privacy Policy by posting a revised version on this website with a new “last updated” date. The current version is dated September 22, 2026.
